Head of Operations

Cargofy is building the AI-native operating system for global freight. Cargofy deploys autonomous AI agents that automate procurement, dispatching, negotiations, tracking, and operations for carriers, shippers, and 3PLs across the US, Europe, and Asia. Our platform processes 100,000+ loads per day and hundreds of thousands of real-time events — replacing manual logistics with fully autonomous AI.

We need a Head of Operations to build the system that connects our teams — and make sure more of it runs on agents, not people.

Why This Role Exists Now

We've hired well across sales, customer success, product, and engineering. Each team works. What's missing is the connective tissue: who owns what, when things are due, what's blocked, how we report on it. A lot of that coordination still runs through the founders. Your job is to change that.

What Winning Looks Like

• Founders spend almost no time on day-to-day coordination
• Every active task has an owner and a clear status
• Blockers cleared within 24 hours
• Teams work from current playbooks, not memory
• More internal work runs on agents over time

What You Will Own

• Playbooks — document how every team works: sales pipeline, CS onboarding, marketing handoffs, product shipping, finance and hiring. Clear enough that a new hire or an agent can follow without asking questions
• Odoo — keep it as the single source of truth for CRM, CS pipeline, email, calendar, and reporting. No side spreadsheets
• Agents — keep playbooks and data organized so agents can act on them. Set up agents for reporting, status updates, data sync, and routine coordination
• Cadence — run planning, weekly check-ins, and self-updating reports. Track goals across five teams in three time zones. No dropped handoffs

Who You Are

• 5+ years in operations, chief of staff, or project management — ideally at a startup that grew fast and messy
• You've built systems and playbooks from scratch and seen them last
• You write clearly — a person or an agent can follow your instructions without asking questions
• You get cross-team work done without being anyone's boss
• Comfortable with CRM/ERP (Odoo is a plus), task trackers, and data
• English C1+

Nice to have: used AI agents for real work, maintained a knowledge base that software reads from, or worked in logistics.
